Assistant Registrar Location Aylmer, ON : Consider this great opportunity where you will provide administrative assistance to the Registrar, and perform clerical duties, in accordance with registration procedures at the Ontario Police College (OPC).

- Prepare form letters, memoranda, reports, class lists, instructions and other documents related to training courses and the registration process as well as spreadsheets of weekly student count statistics.
- Update and maintain course files and related student data/information
- Coordinate the registration of candidates and collection of registration fees for specific courses
- Determine eligibility for courses by applying prerequisites.
- Contact police services and external agencies to obtain or provide required information regarding students, registration and training
- Arrange accommodations for resource instructors and other guests, as assigned
- Liaises with contract cleaners to ensure that accommodations are prepared for new students and guests
- Answer general telephone enquiries regarding courses, the registration process, students and other matters from police service members, personnel from external organizations and other sources
- Perform switchboard relief duties
- Perform other duties, as assigned.
How do I qualify?
Knowledge
You have: - Knowledge of relevant administrative/office procedures, processes and practices to provide administrative support to the Registrar, and perform various clerical duties
- Knowledge of courses offered at the Ontario Police College and other training locations and related information to answer general inquiries and perform assistant registrar duties
- Knowledge of organizational methods and techniques to determine priorities and complete assignments within prescribed time frames
Interpersonal and Communication Skills
- You can provide and obtain information from personnel of police services organizations and external agencies
- You can liaise with contract cleaners on accommodation cleaning needs, respond to inquiries, and provide requested information regarding courses, eligibility, etc.
- You have demonstrated written skills to compose routine correspondence for the Registrar, and to inform police services regarding candidates' course attendance
Problem Solving, Attention to Detail and Analytical Skills
- You can design and update word processing macros for increased ease of workload for personnel in the Registration Office
- You can determine and set up appropriate format and layout to prepare word processing documents and spreadsheets
- You can check for accuracy and completeness of correspondence and other text, including proper format, correct grammar, spelling and punctuation
Computer Skills
- You have demonstrated knowledge of computer software including word processing and spreadsheet applications to prepare and update correspondence, reports, class lists and statistics.
