Part Time Night Auditor/Front Desk Agent Location Victoria, BC :
POSITION SUMMARY AND MISSION
The Night Auditor (Part Time) at The Parkside Hotel & Spa is responsible for completing the overnight audit processes and accounting functions such as daily reporting and transaction audits/verification. As a member of our Guest Services Team, the Night Auditor works at our front desk overnight, assisting with late-night guest inquires and concerns as required. In addition, the Night Auditor is well trained on emergency policies and procedures for the hotel to safely act in the event of a hotel emergency or evacuation.
POSITION DESCRIPTION
- Performs all duties as outlined on overnight shift checklist.
- Takes complete responsibility for a cash float.
- Verifies all departures have been checked out in the PMS System.
- Completes any remaining arrivals for the night, including PM accounts.
- Notes any no shows for GSM and Reservations Team to follow up in AM.
- Releases outstanding credit card authorizations from daily departures.
- In charge of ensuring current downtime reports are printed throughout the shift, and emergency keys are located in the correct spot.
- Runs credit limit report, to make sure proper guest credit is established for all in-house guests.
- Runs the audit & verifies that the PMS system rolls over to the next business day.
- Troubleshoots any issues that may arise during the audit with support teams.
- Completes the hotel & spa Daily Activity Report (DAR) and prepares the audit pack for our accounting department.
- Runs various daily reports and sends to team members.
- Takes care of guest requests or concerns professionally, offering resolutions and/or passing along information for the AM supervisor to follow up.
- Provides information to guests pertaining to hotel services and local points of T.E.A.M.S. Team work, Empowerment, Accountable, Motivated to provide personal service, Sustainable interest.
- Prepares documents & reports for daily housekeeping operations.
- Consistently aware of daily house activity (occupied rooms, special events/functions, and information passed on from other departments).
- Monitors the Night Audit email for any communications from management.
- Records and delivers all wake up calls requested by guests.
- Verifies the key sign in sheet noting any keys that may be missing.
- Updates the MOD Report of any shift happenings and effectively communicates shift to shift pass-on including, but not limited to, guest issues and requests.
- Maintains and replenishes all supplies needed for the next shift. Contacts management to report any supplies that need to be ordered.
- Creates guest room reservations in the absence of our reservations team.
- Completes check out duties for departing guests; this includes providing account statements and receiving payment for charges incurred.
- Works as part of the overall team to ensure the hotel's effective and profitable operation.
- Ensures safety procedures are followed as per hotel policy.
- Responds properly in any hotel emergency or safety situation as outlined in the safety policy.
- Adheres to the Parkside Hotel and Spa's commitment to the environment and sustainability
- Performs other duties as assigned.
REQUIREMENTS:
- 1-2 years' experience in Hospitality or Accounting is considered an asset
- Available to work overnight shifts (11:00pm-7:00am), including weekends & holidays.
- Ability to work independently without supervision.
- Flexible, positive and energetic with the ability to work calmly under pressure
- Strong data entry, analytical and communication skills
- Must be proficient in Microsoft Office (Word, Excel, Outlook)
- Experience with PMS Systems is an asset
- Ability to prioritize and to meet all deadlines
- Has a strong understanding of customer service and is able to implement it on a day to day basis.
