Job Description

Staffinity is looking for a Legal Admin Assistant for our client in downtown Toronto. This is a permanent position with salary, benefits and RRSP. The base salary range is 70-75k. The working hours are daytime, Monday to Friday on a hybrid schedule, 3 days in office and 2 days at home. A laptop will be provided.

Responsibilities:

  • Draft pro forma responses to official actions based on client instructions on patent files.
  • Prepare and file Canadian, US and PCT patent applications.
  • Prepare routine correspondence.
  • Assist with and prepare draft responses to official actions on industrial design and patent files.
  • Manage due dates and deadlines on upcoming patent files.
  • Follow-up with clients and/or foreign associates to ensure instructions are received on time to meet all deadlines.
  • Prepare accounts and manage pre-bills.

Qualifications:

  • Legal Administrative Assistant Diploma from a recognized college is preferred.
  • 3+ years of direct patent work experience as an administrative assistant or a clerk.
  • Strong attention to detail and exceptional grammar and proofreading skills
  • Excellent client service skills.
  • Ability to take instructions, prioritize incoming work, follow through on assignments and manage ongoing tasks.
  • Highly organized team player with the ability to work under pressure, manage changing priorities and meet strict deadlines
  • Working knowledge of Inprotech and CIPO’s online systems 
  • Excellent proficiency with Word 2016, Outlook, PowerPoint, Excel, Aderant, and knowledge of iManage or a similar document management system is an asset.
  • Knowledge of Trademarks is a strong asset.
  • Life sciences and/or corporate background is an asset.
