About the opportunity

We are seeking a highly motivated and detail-oriented Executive Assistant to join our team and provide comprehensive support to our President and CEO. The ideal candidate will be highly professional with a proactive mindset, resourcefulness in problem-solving, unwavering commitment to excellence, and thrive in a fast-paced environment. They are exceptionally capable of prioritizing and managing a wide range of administrative and strategic tasks efficiently and with a high degree of confidentiality. This role will provide executive and administrative support in planning and overseeing projects, programs, meetings, communications and travel requirements established by the Executive office. The targeted base salary range for this position is $60k to $80k and is commensurate with experience.

What you'll do

In this role, your key responsibilities will include representing and projecting the role of the President and CEO in daily interactions and communications:

Project Support:

  • Assist in the coordination and execution of special projects and initiatives as assigned by the CEO
  • Conduct research and provide background information as needed
  • Prepare Lobbyist reporting on a monthly basis for the President and CEO

Team Collaboration:

  • Proactively collaborate with board members, particularly the Chair and Vice Chair, executive leaders, assistants and team members to ensure seamless communication and workflow
  • Liaise with other CPA Canada staff and external stakeholders with respect to invitations, action items for President and CEO

Communication

  • Prepare and edit compelling documents, presentations, and reports on behalf of the CEO, with a keen eye for accuracy and professionalism
  • Act as a liaison between the CEO and internal/external stakeholders
  • Act as a gatekeeper, screening and prioritizing phone calls, emails, and other correspondence for the CEO to maximize efficiency

Materials and Meeting Preparation:

  • Plan, prioritize, execute, influence and report on Board work programs and projects, ensuring alignment between Board direction and staff, including quality assurance and continuous improvement to mitigate Board reputational risk
  • Manage the preparation of background and supporting material, meeting documents and PowerPoint presentations for President and CEO with minimal direction
  • Prepare agendas, documents, and presentations for meetings attended by the CEO
  • Ensure the CEO is well-prepared and informed for all engagements

Calendar Management:

  • Schedule and coordinate meetings, appointments, and travel arrangements for the CEO
  • Anticipate scheduling conflicts and proactively resolve them

Travel Coordination:

  • Arrange complex domestic and international travel, including flights, accommodations, and transportation; anticipate needs and address challenges proactively
  • Provide detailed itineraries and comprehensive travel packs to prepare CEO for travel
  • Work with the Board Chair regarding travel, meeting schedules and agendas as appropriate

Expense Management:

  • Track and reconcile expenses, ensuring accuracy and adherence to company policies
  • Prepare and submit expense reports in a timely manner

Confidentiality:

  • Ensure strict confidentiality and the utmost discretion is maintained in the handling of sensitive information, and in communicating with all stakeholders

What we're looking for

The ideal candidate will have the following skills and experience:

  • Proven experience as an executive assistant or similar role, with experience supporting C-level executives
  • Easily and agilely pivot between competing priorities
  • Strong interpersonal skills with the ability to build relationships at all levels
  • Exceptional organizational and multitasking abilities
  • Strong written and verbal communication skills
  • Strongly proficient in Microsoft Office Suite and other relevant software
  • Ability to work independently and handle confidential information with discretion
  • Bachelor's degree or equivalent experience preferred
  • Bilingual in both French and English is strongly preferred
