Main duties
• Manage the agendas of the Executives
• Oversee Executives’ communications, including emails, calls, and correspondence.
• Note-taking, preparation of minutes and organization and filing of documents (soft and hard copies).
• Act as main point of contact for the Executives and as an intermediary with third parties, including but not limited to suppliers and tenants.
• Assist the Executives in the management and follow-up of various projects.
• Office management, including order of office supplies and maintenance of all office computers and office software.
• Monitor budgets for various projects.
• Manage insurance files and related documentation.
• Manage tenant files and related documentation.
• Ensure confidentiality and proper follow-up of sensitive files.
• Manage accounts receivable and perform bank deposits.
• Reconcile expense accounts and credit cards.
• Prepare and transmit various reports, including but not limited to Microsoft PowerPoint reports.

Skill requirements
• DEC or university degree
• Bilingual (spoken/written) French and English
• 3+ years experience in administration
• Excellent social skills
• Discretion: Ability to handle confidential information with professionalism
• Organization and time management: Ability to prioritize and manage multiple tasks and projects
• Ability to solve problems and work under pressure and tight deadlines
• Excellent command of Microsoft Office 365, including Sharepoint
• Ability to work independently and attention to detail
• Commitment and proactivity
• Experience in real estate and accounting would be an asset

Work conditions
• Permanent, full-time
• Yearly annual salary: $52,000 (approx. $33.33 per hour based on a 30-hour work week)
• Fixed hours: Monday to Friday, 9am - 4pm with unpaid 1hour break
• 3 weeks vacation (1 week mandatory during Christmas, determined by Management)
