Job Description

Entry Level Receptionist/Law Clerk Location Toronto, ON :

Howard C. Cohen and Associates is a law firm in downtown Toronto that practices criminal and civil litigation. We are looking to hire a receptionist/legal assistant, to assist our lawyers and provide support in the overall running of the office.

We are seeking an individual who is reliable, passionate about what they do and who can provide a high level of service to our office and our clients.

Main Duties and Responsibilities:

  • Answer all incoming calls, and respond to callers' inquiries in a positive, professional manner
  • Redirect calls as appropriate and take clear, concise messages when required
  • Greet and assist all clients and visitors
  • Take care of and stamp all mail received and distribute
  • Prepare mail/packages and arrange courier pick-up
  • Transcribe dictation from Senior Lawyer as needed
  • Arrange schedules and bookings
  • Order supplies as needed
  • Correspond with and liaise between the lawyers, other staff, and clients
  • Review and proofread outgoing documents and correspondence
  • Organize workflow and initiate follow-up action promptly to meet multiple deadlines
  • File and maintain electronic and paper documentation using the office filing system and procedures
  • Legal research as required
  • Draft, assemble, and review documentation and/or applications
  • Administrative work on an ongoing basis or as needed
  • Willing and eager to work collaboratively and individually
  • Make court appearances as required

Qualifications:

  • Previous experience as a legal assistant is an asset but not required
  • Proficiency with PC Law and billing procedures is an asset

Knowledge and Skills:

  • Proficiency with PC Law and billing procedures is an asset
  • Strong client service focus and interpersonal skills
  • Positive attitude with commitment to supporting a team
  • Excellent verbal and written communication in English
  • Ability to organize, multitask and work under pressure in a fast-paced environment
  • Strong attention to detail
  • High technical competency and skills including Microsoft Office (Outlook, Word, Excel and PowerPoint) and Adobe Software.
  • Ability to communicate in a professional manner

Schedule:

  • Monday to Friday
  • 9 am - 5 pm with possible overtime
  • Occasional Sundays as required

Note: Staff must be fully vaccinated and proof of vaccination will be required upon hiring.

Job Type: Full-time.

Applicants will be on probation for 3 months with an offer for full-time employment following an evaluation.

Salary: $34,000.00-$36,000.00 per year
