Job Summary

The Assistant Campus Director (ACD)/Placement Coordinator is responsible for assisting with the management of the Campus. This includes but is not limited to, assisting with supervising the front office staff and operations, dealing with management and approval of invoices for products and services, assisting with the hiring and training of staff and faculty, assisting with student concerns, questions and appeals, ensuring that products and services are delivered appropriately, and scheduling of classes, resources, and faculty. Along with their ACD role they will also be responsibility for coordinating student placements within the community. The ACD can be appointed by the CD as acting CD for the Campus in the CD’s absence and therefore will have the authority to sign off on enrollment contracts, student forms, reports to funders, and learning contracts.

Duties and Responsibilities

  • Ensure students are being taught in accordance with College policies approved curriculum
  • Foster an environment of co-operation and co-ordination among instructional staff
  • Assist with the hiring, training and scheduling of staff and instructors
  • Participate in the student appeal process
  • Supervise the front office staff under the direction of the CD
  • Assist with instructor observations
  • Review and approve all invoices for products and services that come to the campus
  • Manage grade and transcript processing and ensure rewrites are promptly administered
  • Add any relevant student notes to the History tab of GoldMine (complaints, appeals, student meetings regarding performance, concerns, etc.), using discretion with providing details if of a sensitive nature
  • Coordinate with the CD academic information for graduation clearance
  • Supervise attendance submission for students completing placement
  • Supervise progress reports
  • Oversee inventory and supervise ordering of instructor books and resources.
  • Participate in student orientation as necessary
  • Assist with the development and implementation of policies and procedures consistent with those of the organization to ensure efficient and safe operation of the campus
  • Assist with tracking student hours in accordance with college procedures
  • Attend / coordinate graduation ceremonies
  • Implement and follow the policies and procedures established by the College
  • Participate in meetings with staff when required
  • Populate the Student Moodle and Gmail Request spreadsheet for upcoming starts
  • Draft & disseminate agreed upon accommodation to the instructional staff as needed
  • Assist students in developing efficient learning skills and work habits
  • Ensure all course objectives and modules are taught according to the program schedules
  • Maintain fair, firm and consistent discipline with the students
  • Regularly monitor student progress
  • Prepare, administer and mark tests and papers to evaluate students, as needed.
  • Read and action course evaluations, as directed
  • Provide timely feedback to students regarding academic progress
  • Other duties as assigned.

 

Placement Coordination

  • Maintain regular contract and occasionally travel to placement sites to establish and maintain ongoing placement rotation opportunities for students
  • Establish affiliation agreements with the placement hosts
  • Establish new community sites to arrange placements and new affiliation agreements
  • Ensure that appropriate and complete student documentation is submitted to the placement hosts for students to begin placement
  • Ongoing maintenance of placement contact in college database
  • Setting expectations and following appropriate process for preparing students for placement
  • Obtaining the preferred placement choices from students
  • Conducting appropriate placement orientation for students
  • Monitor student progress and ensure students have extension contracts in place when necessary
  • Maintain regular contact with preceptors and follow up more frequently when required
  • Review placement packages to ensure students have completed all necessary items
  • Provide updates to campus director and program coordinator regarding student progress on placement upon the conclusion of student contract
  • Collaborate with campus director to discuss student issues or concerns during placement

 

Qualifications

Education

College Diploma in Office Administration, or related field is preferred.

Experience

The successful candidate should have previous experience within an office environment.

Working Conditions

  1. Position location: Sault Ste Marie
  2. Work environment: Office position
  3. Hours of work: 40 hours, full-time
  4. Schedule of work is typically between 8:00-4:30pm

Compensation

The successful candidate can expect a starting range between $22-24 per hour and will be eligible for Medical Benefits upon successful completion of their probationary period.
